Volume 1 Issue 1
Adding folders for E-mail
How many E-mails do you have in your Inbox? How many have you
deleted but not really in case you need to go back to them? If you do want one,
how do you find the one you are looking for? Finding Old Emails you need is
easy with additional, well-named folders.
E-mails are just digital letters. A single folder (Inbox') with lots of E-mail
is like having one big pile of papers on your desk. Deleting them but never
clearing the 'Deleted' folder is like never emptying your wastebasket. There
is a better way. You can add sub-folders for different types of E-mail you want
to save. Organize it in such a way that you really can find them if you need
them. I get passwords E-mailed to me from newsletters sites I have logged onto,
software I have downloaded, pin codes etc. I have created a folder called 'Passwords'
and now all those E-mails are in the same place. I also have a folder for each
of three organizations I belong to and keep correspondence from each of them
in a separate folder. It makes it much easier to find things. I even have one
called 'Saved' when I am not really sure what to do with it but I don't need
it on the top if my desk ('Inbox').
As always there are several ways to create these folders. They are almost identical
in Outlook and Outlook Express.
Mouse:
Highlight your 'Inbox', Right Click. and a menu will pop up. Left click on New
Folder. A new box will open, 'Create New Folder'. There will be a space to type
the name of the folder, and Inbox should be highlighted. (that means it will
be a sub-folder under 'Inbox'. Type the name, Click OK and you have created
you sub-folder. Do this for as many folders and sub-sub folder as you need to
make you feel you can find what you need.
Mouse 2:
If you are in your 'Inbox' left click 'File' then 'New', from this list as you
see you can create lots of new things. You will see the shortcut keys if you
choose to remember them. For this example click 'Folder', the same window as
above will appear.
Keystrokes:
Alt , 'F' then follow the underlined letters to open the items as if you were
clicking them. It is different keys for Outlook and Outlook Express. Once you
learn the keystrokes for your applications and you do the same thing many times
it will become much faster than using the mouse.
Once the folders are created you can Drag an E-mail from your 'Inbox' into whatever
folder you want. You can move items you have already deleted back and organize
them (if they haven't been deleted forever).

Bonus Tip:
If you use Outlook, You can edit an e-mail or edit the subject line to make
it easier to find later. Double click an open the E-Mail, Click 'Edit' - 'Edit
Message' Edit what you wish - the subject, any of the text - add notes to yourself.
When you click to close the e-mail it will ask you if you want to save the changes.
Click yes and
it is done. It may not show up as changed until you click another folder and
come back again as the window refreshes itself.
